Terms & Conditions

Booking Procedure: A standard one-night deposit with a credit card is obtained to guarantee a reservation. Full and final payment is due upon arrival. A $200 credit card or cash deposit is required at check-in for incidentals for the villa. If you would like to sign for restaurant & bar charges, then a $500 incidental is required. A fax or email will be sent to you to confirm your reservation. Our three bedroom villa must be booked for two days or more.

Cancellation Policy: Cancellations for most reservations must be made 14 days before arrival in order to avoid payment of a penalty in an amount equal to the cost of one night room and applicable taxes. Deposits are refundable if you cancel within your cancellation window. No cancellations during Holidays or special events. No refund for early departures or no shows. We recommend purchasing travelers insurance. The completion and return of our credit card authorization form indicates your acceptance and understanding of the cancellation policy.

Occupancy: Rates and occupancy are based on each individual Villa. Villas with lock-out, one bedroom/one bath are for single or double occupancy. Our two bedroom/two bath Villas are for a maximum of four persons. $20 charge for one additional person 5 and older. All Villas are subject to 12% tax and 10% resort fee. There is a $100.00 fee for early departure and minimum night stay requirements will be charged in full. Due to fire ordinance, each villas has a maximum capacity of persons. If your party exceeds the maximum number of guest, Neptune Villas reserves the right to ask for immediate decrease in occupancy to continue your stay or to have the property vacated with no refund. Guest accommodations are non-smoking. A $250.00 cleaning fee will be assessed for smoking in our villas. Neptune Villas has a lovely outdoor venue for special events, reunions and celebrations. It is not permitted to have special events, reunions and celebrations in our Villas. Unless, prior arrangements are made with management.

Children: Proper supervision of the children is the sole responsibility of the adults. Renter is advised not to allow children to swim in the pool or ocean without adult supervision.

Check In/Check Out: Check in time is 3:00pm. There is no guaranteed check in before 3:00pm. Check out time is 11:00am. All guests along with their personal belonging must be out of the villa by this time. All guests staying in the villa after this time will be charged $20 per hr.

Maid Service: There is daily housekeeping provided during your stay. If you require additional maid service please advise before your arrival. The fee for additional maid service is $15.00 an hour with a minimum of four (4) hours. If you request additional maid service and change your mind, a 24 hour notice is required. Same day cancellations must be paid for regardless of service. Renter shall be responsible if excessive cleaning is required at the end of your stay.

Villa Decor: Each Villa is designed and decorated differently. Each Villa includes furniture, decorations, cable TV, free wifi, kitchen equipment, house linens, hair dryer, washer/dryer, iron and ironing board. All decor is subject to change without notice. Although every effort is made to maintain the villas in good condition, wear and tear is unavoidable. Please notify the manager as soon as possible if a problem exists. Every effort will be made in order to fix the problem that exists in a timely manner. Please keep in mind that Providenciales is a small island and many goods and services that are available in the US, Canada, and Europe are not available here. No refunds or rate adjustments will be made in the event of any malfunctions. Any damage done to property or missing items will be charged to your credit card.

Swimming Pool: Please note that for sanitary reasons children should wear proper bathing attire before entering the pool. Toddlers and infants are required to wear swimming diapers. Anyone using the pool does so at their own risk. No scuba equipment or salty gear permitted in the pool.

Rentals: We offer complimentary Kayaks, Canoes, Paddle Boards and Paddle Boats for the usage of our clients. We have either single or double kayaks. Before usage, all equipment must be signed out. Kayaks, Canoes, Paddle Boards and Paddle Boats are to be used responsibly, at your own risk and may only be used on Chalk Sound.

Keys: Guest are responsible for their villa keys. There is a $200 replacement charge for lost keys.

Security: Be safe; lock your doors and windows when you are away and at night. Do not leave any valuable lying around. Neptune Villas is not responsible for any lost or stolen items. All villas have a safe for documents.

Air Conditioning: All villas have air conditioning.

Government Tax & Fees: Please note that all Villa rentals are subject to a 12% accommodation tax & a 10% resort fee. This tax will be payable at the time the balance is paid on your reservation.

Construction: Unfortunately we can not control nor predict any construction activity on the island. We will not issue any refunds due to construction.

Hurricane: In the event of a mandatory evacuation, Neptune Villas will not penalize any guest for any unused nights and will also present a voucher valid for a future stay for the number of nights that remain. In the event of an official hurricane warning issued for the Turks and Caicos Islands, Neptune Villas will waive the cancellation penalty and change the reservation for a future date.

Gathering: Due to fire ordinance, no gathering of more than 6 people or parties allowed in villas. Unless, authorized by Management.

Payment Policy

GUEST REMAINING AFTER 11:00 AM WILL AUTOMATICALLY BE CHARGED AN ADDITIONAL DAY, PLEASE MAKE PRIOR ARRANGEMENTS WITH THE FRONT DESK. THERE IS NO REFUNDS FOR EARLY DEPARTURE.
NOTICE TO GUEST: THIS PROPERTY IS PRIVATELY OWNED. MANAGEMENT RESERVES THE RIGHT TO REFUSE SERVICE TO ANYONE. WE WILL NOT BE RESPONSBILE FOR ACCIDENTS OR INJURY TO GUEST OR FOR LOSS OF MONEY, JEWELRY OR VALUABLES OF ANY KIND.
NOTE: ALL ROOMS HAVE MAXIMUM CAPACITY. IF YOU EXCEED YOU WILL BE ASKED TO LEAVE THE PREMISES AND A CHARGE OF $20.00 PER ADDITIONAL PERSON PER DAY WILL BE CHARGED TO YOUR CREDIT CARD.
-ANY DAMAGES TO A ROOM OR ON THE PROPERTY WILL AUTOMATICALLY BE CHARGED TO YOUR CREDIT CARD.
DUE TO FIRE ORDINANCE, NO GATHERING OF MORE THAN 6 PEOPLE OR PARTIES ALLOWED IN VILLAS. UNLESS, AUTHORIZED BY MANAGEMENT.
